This Privacy Policy explains how we collect, use, store, and disclose personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

This Policy applies to all clients, prospective clients, website visitors, and any individual whose personal information we hold. By engaging our services or using our website, you acknowledge that you have read and understood this Policy.

Information We Collect

Personal Information

We may collect the following types of personal information:

  • Identity and contact details — name, email address, phone number, job title, and employer
  • Professional and organisational information — career history, goals, challenges, and workplace context relevant to coaching
  • Coaching and assessment data — session notes, psychometric or 360-degree assessment results, and development plans
  • Payment and invoicing information
  • Communications — emails, enquiry form submissions, and podcast or content interactions

Sensitive Information

In some coaching contexts, you may share information that qualifies as sensitive (for example, health information that is relevant to your coaching goals). We will only collect sensitive information with your consent and where it is reasonably necessary for the service. Sensitive information is held to a higher standard of care and will not be used or disclosed beyond the purpose for which it was collected.

How We Collect Information

We collect information directly from you — through intake forms, coaching sessions, assessments, email correspondence, and website enquiries. We do not collect personal information by unlawful or covert means.

How We Use Your Information

We use personal information solely for the purposes for which it was collected, including:

  • Delivering executive coaching, consulting, and professional development services
  • Administering client relationships, scheduling, and invoicing
  • Communicating with you about your engagement or our services
  • Conducting research and improving our services (in de-identified form only)
  • Complying with legal and contractual obligations

We will not use your personal information for a secondary purpose without your consent, unless permitted or required by law.

Disclosure of Your Information

We do not sell, trade, or rent your personal information to third parties. We may disclose personal information to:

  • Third-party service providers who assist us in delivering our services (e.g. assessment platforms, scheduling tools, cloud storage, accounting software) — subject to appropriate data processing agreements
  • Organisational sponsors or employers, but only to the extent agreed in writing at the commencement of the engagement and consistent with our Coaching Confidentiality Statement
  • Professional advisors (lawyers, accountants) under confidentiality obligations
  • Regulatory bodies or law enforcement where required by law

Overseas disclosure: Some third-party platforms we use (e.g. cloud services, video conferencing, assessment tools) may store or process data on servers located outside Australia. Where this occurs, we take reasonable steps to ensure those providers comply with standards consistent with the APPs. By using our services, you consent to this where applicable.

Data Security & Retention

We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access. Our security measures include encrypted storage, password-protected and multi-factor authenticated systems, and restricted access to client files.

We retain personal information only for as long as necessary. As a general guide, active client files are retained for seven years following the end of an engagement, consistent with standard legal and taxation obligations. Information that is no longer required is securely destroyed or de-identified.
